The Membership Units module provides a comprehensive view of your membership metrics, including active members, new sign-ups, cancellations, attrition rates, and members at risk of leaving. This module helps you monitor membership health and identify trends that require attention.

- Stats with 'Previous' in the title (e.g., 'Previous New Members') refer to the previous month, same date range.

Filter Definition
Show Pervious Data: (ON/OFF) When off, it will only show current data; OFF will give a cleaner look with less metrics. The Dashboard will remember the user's last session so if they change to OFF, it will be off the next time they navigate to that module. When ON, we will show the previous period in a new metric; ON will look like we have always had.
Modular Definitions
Total Active Members: Any client with an active membership agreement and a scheduled payment for that membership. Depending on your organization’s settings, this number may or may not include Frozen. For an organization using the Paying Members logic, the title will be Paying Members.
Frozen Members: Any client whose membership agreement has been frozen (by a staff member).
Total New Members: Summing the new and rejoined members; 'Total New Members' = New + Rejoin.
Cancelled Members: When a client’s agreement is terminated or expired. This status indicates a client who lost their membership status for a reason other than suspension or freeze.
New Members: This status indicates a client that has not been a member with the studio in the past. (Returning members will display a Rejoin status rather than new status.)
Rejoin Members: This status indicates a client has returned to active from losing their membership status for at least one day; a client can come back from an expired or terminated agreement.
At Risk Members: The members that iKizmet has identified as being at risk of terminating their membership. How do we determine who they are? This list contains your highest paying members that did not have a visit in the last 10 days, but had a visit in the 10 days prior. For examples if today is January 31st, the list will show members who had at least one visit between January 10th through 20th, but no visits from January 21st to 30th.
Net Units MTD: Displays the net amount of members added the selected date range by summing new members, rejoin members, and cancelled members. 'Net Units MTD' = New + Rejoin - Cancel. (Frozen members are not included as they are still a member but in a frozen status so you have not lost nor gained a member.)
Monthly Attrition Rate: This calculation will show what percentage of members have cancelled during the current month. We look at the number of members from the end of last month and see how many of them have cancelled.
Rolling 30 Attrition Rate: This calculation will show what percentage of members have cancelled during the last 30 days. We look at the number of members from 30 days ago and see how many of them have cancelled.
Scheduled Cancellations: This metric will show any member who is scheduled to cancel in the next 60 days from last close of business date. Historical data is not available and will show zero when any date in the past is selected.
Total Past Dues: Displays past dues. The data is only available for the current date selected; no historical data is saved in ClubReady to report from. When selecting a date in the past, the column will no longer be available.
How to Use This Module
Monitoring Membership Health
The Membership Units module is your dashboard for understanding membership growth, stability, and risk. Use it to track performance, spot problems early, and make data-driven decisions about retention and growth strategies.
Key scenarios where this module provides insights:
1. Tracking Overall Membership Growth
- Review Total Active Members to see your current member base.
- Compare Total New Members (New + Rejoin) to Cancelled Members to understand net growth.
- Check Net Units MTD for a quick snapshot of whether you're growing or shrinking.
Action: If Net Units MTD is negative for multiple consecutive months, you have a retention problem that's outpacing acquisition. Focus on reducing cancellations before investing more in new member acquisition.
2. Identifying At-Risk Members Before They Cancel
- Review At Risk Members to see high-paying members who recently stopped attending.
- This list identifies members who visited 10-20 days ago but haven't been back in the last 10 days.
- These members are showing early warning signs of disengagement.
Action: Reach out to at-risk members proactively with personalized check-ins, special offers, or "we miss you" communications before they cancel.
3. Understanding Your Attrition Problem
- Compare Monthly Attrition Rate (current month cancellations) to Rolling 30 Attrition Rate (last 30 days)
- If both rates are above 5%, you have a significant retention issue.
- Track these rates month-over-month to see if retention efforts are working.
Action: If attrition is high, audit your onboarding process, member engagement programs, and cancellation reasons to identify root causes.
Common Monitoring Practices:
- Weekly check: Review At Risk Members and Net Units MTD to stay on top of trends
- Monthly review: Compare current month New Members vs. Cancelled Members to assess growth health.
- Quarterly analysis: Track Rolling 30 Attrition Rate trends to measure long-term retention effectiveness.
Pro tip: Enable "Show Previous Data" to see month-over-month comparisons for every metric. This makes it easy to spot whether trends are improving or declining without manually comparing reports.
