The Lead Status report gives a clear, step-by-step view of your sales pipeline. It automatically tracks prospects through four stages: Lead Creation, First Open Booking, First Completed Visit, and First Enrollment. This turns your pipeline into an actionable roadmap, showing exactly where each prospect is in the process.
Please Note:
- Permission access need is 'Lead Status'.
- The Lead Status report is located under the Activity tab, and under the Sales Activity page.
Filter Description
Calendar: The option to select a specific start and end date.
Search: The capability to search the report using any displayed data point, including customer name, date, and membership type.
First Open Booking By:
- Booking Date: The customer's visit date.
- Log Date: The customer's booking date.
First Completed Visit By:
- Visit Date: The customer's visit date.
- Log Date: The customer's booking date.
First Enrollment By:
- Sale Date: The customer's agreement sale date.
- Invoice Added Date: The customer's agreement invoice date.
Report Description
Lead: The total number of leads, or profile creations, that occurred within the selected date range. This includes leads without an initial booking (open or completed) or any qualifying purchase.
First Open Booking: Refers to the total number of open bookings or reservations. This includes leads whose first open booking occurred prior to the completion of their initial booking.
First Complete Visits: The total number of completed visits, also referred to as bookings or check-ins, that occurred within the selected date range.
First Enrollment: The initial enrollment is determined by the first qualifying purchase and will encompass any pricing option labeled with the ‘Using for Retention’ tag.
How to Use This Report
Spotting Where Leads Lose Momentum
Unlike static snapshots, this report dynamically updates based on actual prospect behavior, making it easy to identify exactly where your sales funnel is leaking:
- The booking gap: How many leads are created but never book their first visit? A large gap here signals an issue with your initial follow-up or booking process.
- The show-up rate: Compare "First Open Booking" to "First Complete Visits" to see how many people schedule but don't actually show up. High no-show rates often indicate a need for better confirmation systems or pre-visit engagement.
- The conversion cliff: The drop from completed visits to first enrollment reveals your closing effectiveness. If prospects love the visit but don't sign up, your sales conversation or offer may need refinement.
Pro tip: Run this report on a weekly basis and monitor the ratios between each stage. Identifying consistent patterns, such as a recurring 30% decrease between booking and attendance, will enable you to determine where to concentrate your efforts and which benchmarks require improvement.
